How Is It Different from Accounting Software?
This is one of the most common questions. Business Central is often compared to accounting packages like Sage, QuickBooks, or Xero — but it is a different category of software.
Accounting software manages your books. Business Central manages your entire business operation and produces the books as a result.
The difference shows up in practice. An accounting package records that you sold something. Business Central manages the quote, the order, the pick from the warehouse, the shipment to the customer, the invoice, the payment, and the reconciliation — and updates your stock levels, your customer balance, and your financial statements automatically at every step.

Is It Cloud-Based?
Yes — and no. Business Central is available in two deployment models:
Business Central Online is the cloud (SaaS) version, hosted by Microsoft on Azure. There is nothing to install, Microsoft manages the infrastructure and updates, and you access it through a browser or the desktop app. This is the direction Microsoft is pushing and the choice most new implementations make today.
Business Central On-Premises is installed on your own servers or a hosted environment. You manage the infrastructure and control your own update schedule. Some businesses prefer this for data sovereignty, integration complexity, or specific compliance requirements.
For most businesses starting fresh, Business Central Online is the right choice. It is lower cost to get started, always up to date, and accessible from anywhere.
How Does It Connect to the Rest of Microsoft?
One of Business Central’s genuine strengths is how naturally it connects to the rest of the Microsoft ecosystem. Out of the box it integrates with:
- Microsoft 365 — Word, Excel, Outlook, and Teams. You can create quotes in BC and send them from Outlook, analyse data directly in Excel, or receive approval notifications in Teams.
- Power BI — connect BC data to Power BI for rich dashboards and reporting beyond what is built into the system.
- Power Automate — automate workflows and approvals without custom development.
- Shopify — the built-in BC-Shopify connector synchronises customers, orders, products, and inventory between your webshop and BC.
- Dataverse and other Dynamics 365 apps — Business Central can connect to Dynamics 365 Sales (CRM), Field Service, and other apps in the Dynamics family.
If your business already runs on Microsoft tools, Business Central fits into that ecosystem without friction.
How Is It Licensed?
Business Central is licensed per user per month, through Microsoft’s subscription model. There are two main licence types:
Essentials — covers finance, sales, purchasing, inventory, and project management. Suited to most businesses that do not need manufacturing.
Premium — includes everything in Essentials plus manufacturing and service management. For businesses that produce goods or manage field service operations.
There is also a Team Member licence for light users who need read access, basic data entry, or approval capabilities without full system access.
Licensing is purchased through Microsoft or through a Microsoft partner — which is typically the same partner who implements and supports your system.
Who Implements It?
Business Central is not sold as a self-service product. It is implemented by a network of Microsoft partners — consulting firms and resellers who are certified to configure, customise, and support the system.
A good implementation partner does more than install the software. They map your business processes to BC, configure the system to match how you work, migrate your data from previous systems, train your team, and support you after go-live.
