How to Make Sales Order from a Sales Quote: An Overview

In Business Central, the sales process typically starts with a quote. You send the customer a quote. They review it and decide whether to proceed. When they say yes, the next step is to create a sales order. However, you do not need to retype everything. Instead, Business Central lets you make sales order directly from the quote with a single button. That is the process this guide covers.

This conversion saves time and reduces rework. Furthermore, it eliminates the risk of errors that come with manually re-entering data into a new document. The customer, the items, the quantities, and the prices all carry over automatically. As a result, you can move from quote to order in seconds. For businesses that deal with high volumes of quotes, this approach makes a real difference to daily operations.

Finding the Sales Quote Page

Before you can make sales order from a quote, you need to find the Sales Quotes page. There are two ways to get there. First, if your role centre includes a Sales section, you can navigate directly from there under Sales and then Sales Quotes. Second, you can use the search bar at the top of any page. Simply type “sales quotes” and select the result. Both routes take you to the same place. Indeed, the search bar approach works regardless of your role centre configuration, so it is a reliable fallback if you cannot find the page through navigation.

Once you are on the Sales Quotes page, you can see all existing quotes. From here, you can open an existing quote or create a new one. For this guide, we are creating a new quote from scratch to show the full flow before we make sales order at the end.

Creating the Sales Quote to Make Sales Order

To create a new sales quote, select New from the Sales Quotes page. Business Central opens a blank quote form. The first thing you need to do is select the customer. Click the Customer field and choose the right account from the list. Once you select a customer, Business Central fills in the standard header information from the customer record automatically. You can review and adjust those fields if needed, but in most cases they are correct as-is.

However, the most important step is adding the items. Scroll down to the lines section. Here, you add each product or service you are quoting. For example, if you are quoting a desk and four chairs, you add a separate line for each. Enter the item number, the quantity, and confirm the unit price. Business Central calculates the line totals automatically. Furthermore, the subtotal and tax amounts at the bottom of the quote update as you add each line. No manual calculation is needed at any point.

What the Sales Quote Contains

In summary, the quote now shows the customer name, the items, the quantities, and the pricing. In short, it contains everything the customer needs to make a decision. At this point, you can print the quote or send it by email. Business Central supports both options from the same page. You send the quote to the customer and wait for their response. The quote sits in Business Central in the meantime, ready to be acted on as soon as you hear back from them.

Make Sales Order: Using the Make Order Button

When the customer accepts the quote, it is time to make sales order from it. Open the quote in Business Central. In the Home tab at the top of the page, you will find the Make Order button. This is the key step. Clicking it tells Business Central that the customer has accepted and that you want to convert the quote into a live sales order.

Business Central will ask you to confirm. It says: do you want to convert the quote to an order? Select Yes. The system processes the conversion immediately. In a moment, it shows a confirmation message: the quote has been converted to a sales order, and it gives you the new order number. The whole process takes only a few seconds.

Furthermore, Business Central asks whether you want to open the new sales order. Select Yes to move directly to it. That is typically what you want to do. Indeed, the sales order is where the work continues from this point forward.

What the Sales Order Looks Like After Conversion

After you make sales order from the quote, the new order opens automatically. It looks similar to the quote. The customer is the same. All lines carry over exactly as you entered them – items, quantities, and prices included. Nothing needs to be re-entered. Moreover, the original quote is now closed. It has served its purpose and is no longer active.

At this stage, you can still make changes to the order if needed. For example, you might adjust a quantity or add an additional item that the customer requested. However, most of the time the order is ready to proceed as-is. The next steps in the sales process – creating a shipment and posting an invoice – all happen from this sales order. In other words, the order is now the central document driving the rest of the flow.

The Make Order Button vs. Make Invoice

It is worth noting that the Make Order button is not the only option on the sales quote. Next to it, you will see a Make Invoice button. This takes a different route. Instead of creating a sales order first, it creates a sales invoice directly from the quote. That approach works well in simpler scenarios where you do not need to track a shipment separately. However, for most standard sales flows, the order route gives you more control and visibility at every stage. As a result, Make Order is the more common choice for businesses that ship physical goods and need to track delivery separately from billing.

Therefore, understanding the difference between these two options helps you choose the right path for each transaction. Both start from the same quote. They simply take the process in different directions depending on your business needs.
