This is part two of a guide on applying payments in Business Central. Part one covers the cash receipt journal. This part covers how to apply entries after posting and how to reverse a wrong application using the unapply function.
When a payment posts in Business Central without a link to an invoice, both entries stay open in the customer ledger. The invoice shows as unpaid and the payment sits unmatched. This is not always obvious until you run a customer statement. At that point, the statement shows payments as open items next to unpaid invoices, which confuses the customer. To fix this, you can apply entries directly in the customer ledger, without undoing any posting.
Why Apply Entries After Posting?
In Business Central, every customer transaction creates a ledger entry. Invoices and payments both stay open until you match them. When you apply entries, BC links them together and both close. So the invoice no longer shows as unpaid and the payment no longer floats without a match.
The problem shows up clearly on a customer statement. If a payment posts without matching an invoice, the statement lists both as separate open items. Consequently, the customer sees an invoice they believe they already paid. Also, they see a payment that appears as a credit but has no link to anything. This creates confusion and can lead to disputes. For example, a customer may stop paying because they think an invoice is already covered by the payment they see on the statement. As a result, you chase a payment that is technically already in the system – just not matched. Therefore, keeping your apply entries current is a basic part of running accounts receivable well.
How to Apply Entries on the Customer Ledger
To apply entries after posting, open the customer card and go to the Balance Due view. This shows all open entries for that customer. Also, you can see the remaining amount on each entry, which helps confirm you are working with the right line. Find the payment you want to match. Highlight it and choose the Apply Entries action. BC opens a page listing all open entries and highlights the one you selected.
Then, find the invoice you want to link the payment to. Click on that invoice row and choose Set Applies-to ID. BC fills in the ID on the invoice row. Next, click Post Application. BC asks for a document number and a posting date. You can keep the existing values or change them. Then, click OK and BC posts the match. Both entries close and link to each other. In short, the whole process takes just a few clicks and no original posting needs to change. Also, when BC prompts for a document number during post application, you can use the existing one or enter the customer’s reference number. This adds useful context to the posted application for future review.
Applying One Payment to Multiple Invoices
The same method works when one payment covers several invoices. Open the Apply Entries page from the payment row. Then set the Applies-to ID on each invoice you want to include. The page shows a running total at the bottom. When the total matches your payment, click Post Application. BC closes all the selected invoices in one action. Furthermore, this keeps your bank reconciliation clean – one payment, one bank transaction, no split lines.
How to Unapply Entries in Business Central
Sometimes you apply entries to the wrong invoice. BC lets you reverse this with the Unapply Entries action. However, once entries match and close, they no longer appear in the Balance Due view. So you need to access the full ledger history instead.
To get the full history, open the customer ledger entries – not the balance due view, but the complete history page. This shows all entries including those that already have a match. Find the payment you want to fix, highlight it, and choose Unapply Entries. BC opens a page showing the invoice and payment that previously matched. Select both rows and click Unapply. Consequently, BC reverses the match and both entries reopen. You can then apply entries again to the correct invoice.
Also, the unapply action posts a new ledger transaction. Therefore, your audit trail stays intact. You are not deleting anything – you are adding a correcting entry. So the full history of what happened is still in BC if you ever need to review it. Moreover, this means you can correct a wrong match at any time, even days or weeks after it was made. There is no time limit on the unapply action. So if an incorrect match is found during an audit or a month-end review, you can fix it there and then without any special procedure.
Balance Due vs Full Ledger Entries
One practical point when working with apply entries is knowing which view to use. The Balance Due page shows only open entries – invoices and payments that have no match yet. It is useful for daily work. However, once entries match and close, they leave this view.
The customer ledger entries page shows the complete history: open entries, matched entries, and all past transactions. So if you need to find a payment that already has a match, or need to unapply something, use the full ledger view. Also, this is the right starting point for any correction work. In short, the Balance Due view is for current open items and the full ledger view is for history and fixes. Knowing which one to use will save you time when problems come up. Also, if you are ever unsure whether a payment has a match, open the full ledger view and look at the remaining amount column. A zero remaining amount means the entry has a match. A positive remaining amount means it is still open and needs action.
Wrapping Up: How to Apply Entries in Business Central

The ability to apply entries and unapply entries after posting gives you full control over customer payment matching in Business Central. You can fix unmatched payments without changing any original posting. Also, you can reverse wrong matches cleanly and keep a full audit trail. Furthermore, using the balance due and full ledger views together gives you the right tool for both daily work and corrections.
